Receipt Export Pro guide

How to export receipts to Google Sheets

A consistent receipt sheet is useful only when the entries are accurate and quick to create. This workflow reduces the copying while keeping the final check with you.

Start with a sheet that answers accounting questions

A useful expense record needs more than a total. Keep a consistent set of columns: transaction date, merchant, gross total, currency, tax, source reference and entry date. That gives you enough context to review the expense later and trace it back to the original receipt.

Receipt Export Pro creates a monthly expense Sheet in your Google Drive and writes these fields for you. The Sheet remains under your Google account, so you can add categories, project codes, notes or approval fields around the exported columns.

Export a web receipt step by step

  1. Install Receipt Export Pro from the Chrome Web Store and pin it to the toolbar.
  2. Connect Google and approve the limited permissions shown by Google.
  3. Open the completed receipt or order page rather than a basket, search result or account summary.
  4. Open the extension and review the merchant, date, total, currency and VAT it detected.
  5. Add the receipt and open the monthly Sheet to check the new row.

Check the row before relying on it

Receipt layouts vary, so automated extraction should remove typing rather than remove judgement. Compare the row with the original receipt, especially where the page shows several totals, refunds, deposits, tips, discounts or more than one tax figure.

  • The transaction date should be the receipt or invoice date, not a due date or entry date.
  • The total should be the amount actually charged in the recorded currency.
  • Tax should be zero when no separate tax amount is stated; do not infer VAT solely from a VAT registration number.
  • The merchant should identify the supplier, not a filename, invoice label or payment processor where the actual supplier is clear.
Process each source once. Receipt Export Pro stores a source key in the Sheet and blocks the same URL or uploaded filename from being added again.

What to do when a page is not a receipt

Some sites show the invoice only as a PDF download. In that case, download the PDF from the trusted supplier site and use the Pro PDF workflow instead. Do not export an order-list page containing several purchases; open the individual transaction first.

If a result is wrong, keep the source document, remove or correct the inaccurate row, and report the example through the extension's support link. Redact personal or confidential information before sharing a diagnostic example.

Where this fits in your wider process

The Google Sheet can support expense review, bookkeeping preparation and hand-off to an accountant. It is not a substitute for checking allowable expenses, applying the correct tax treatment or using required accounting and HMRC submission software.
